Privacy Policy
This policy has two halves. The first is about the ArchiveMind application, and it is mostly a list of things that never happen, because the software is built so they can't. The second is about the website and buying a license, which work like any small online shop — and we say exactly what that involves.
Who we are
ArchiveMind is made and sold by It's Magic Entertainment, LLC, a California limited liability company. For the purposes of data-protection law, we are the controller of the personal information described on this page. You can reach us at support@archivemind.app.
The application
ArchiveMind makes no network connections. Not to us, not to anyone. There is no telemetry, no crash reporting, no update phone-home, no account, and no cloud component. This is not a setting you have to find — the application contains no code that talks to the network, and our test suite fails if any is added.
Everything ArchiveMind learns about your files — names, metadata, extracted text, thumbnails, search indexes, visual-search data, face-recognition data — is stored in a catalog file on your own disk, readable and deletable by you at any time. Your files, and every fact about your files, never leave your computer. We have no way to see them, and this policy cannot change that.
Licenses
A purchased license is a signed file we email to you. The application verifies it mathematically, on your machine, with no server involved. We keep the record of the sale (who bought which license); the application never reports back who is using it, where, or on what.
This website
This site is static pages: no analytics, no cookies of our own, no external fonts, no advertising, no tracking pixels. It is served by Cloudflare, whose infrastructure keeps standard, short-lived connection logs (IP address, request path, browser type) to run and protect the service; we add nothing on top and do not use those logs to identify visitors.
One deliberate exception: the pricing page loads our payment provider's checkout (Paddle) only when you click Buy — nothing from Paddle is requested while you merely read the site. From that click on, Paddle's own privacy policy governs the payment form, which they operate as the merchant of record. Paddle may set cookies inside its checkout to complete the transaction and prevent fraud.
What we collect
When you buy a license. Paddle sells the license to you as the merchant of record and processes your payment. Card numbers and bank details go to Paddle; we never see them. Paddle passes us what delivery and support require: your name, your email address, your country (which Paddle uses to work out sales tax or VAT), what you bought, the order number and date, and the amount paid.
When we issue your license. We record your name, email address, license number, and issue date, so we can re-send a lost license and honor the refund policy.
When you email us. We keep the correspondence (your address and what you wrote) so we can help you.
When you visit. Only the Cloudflare connection logs described above. We do not build profiles, fingerprint browsers, or follow you across sites.
Why we use it
To deliver the license you bought and answer your support and refund requests (performance of a contract with you); to keep the sales and tax records the law requires us to keep (a legal obligation); and to run and protect the website and detect abuse or fraud (our legitimate interest, which we consider clearly outweighs any effect on you given how little is involved). We do not use your information for marketing unless you have asked us to write to you, and we never sell or share personal information with anyone for their own purposes — including in the California sense of "sharing" for advertising.
How long we keep it
Cloudflare's connection logs are held by Cloudflare for its own short retention period; we do not export them. Purchase and license records are kept for as long as your license is valid and for the period tax and accounting law requires afterwards (currently up to seven years in the United States). Support email is kept while it is useful for helping you and deleted on request, except where it is part of a purchase record we must retain.
Who processes it
We use three service providers, and no others:
Paddle (Paddle.com Market Ltd and its affiliates) — the merchant of record that sells the license, handles payment, sales tax and VAT, and refunds. Their privacy policy applies to the checkout and to the data they hold about your order.
Cloudflare — hosts this website and routes email sent to our @archivemind.app addresses.
Google — our mailbox. Email you send to support@archivemind.app is delivered to a Google-hosted account, and the notification of your order arrives there too.
Each of these companies acts as a processor on our behalf (or, for the payment itself, as an independent controller in Paddle's case) under their own published terms. We are based in the United States; if you are in the European Economic Area, the United Kingdom, or elsewhere, information you send us is transferred to and stored in the United States, and these providers rely on their own published safeguards for that transfer. We do not use advertising networks, data brokers, or analytics services of any kind.
Your rights
Wherever you live, you can ask us to tell you what we hold about you (access), correct it, delete it, or send you a copy, by emailing support@archivemind.app. We reply from the address on file for you as our way of checking it's really you. We will answer within 30 days. The one thing we cannot delete on request is a sales record the law requires us to keep — we will tell you if that applies, and delete everything else.
If you are in the EEA or the United Kingdom (GDPR / UK GDPR): you also have the rights to restrict or object to our processing, to data portability, to withdraw consent where we rely on it, and to complain to your local supervisory authority.
If you are in California (CCPA / CPRA): you have the rights to know, to delete, to correct, and to non-discrimination for exercising them. We do not sell or share personal information, so there is nothing to opt out of; browser signals such as Global Privacy Control are therefore honored trivially. You may authorize someone to make a request for you; we will still confirm with you by email.
Children
This website and the application are not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, email us and we will delete it.
Security
The website is served only over HTTPS. Our sale and license records live in the three providers named above, each behind the account protections they offer, and nowhere else. The catalog the application builds stays on your disk under your own operating system's protection; the application sets its data files so that only your user account can read them.
Changes
If this policy changes, we update the effective date below and describe the change in the page text. We will not expand what we collect without saying so here first.
